Job DescriptionWe are looking for an Executive Assistant to the CEO to work directly with the Founder & CEO of a fast-growing DTC marketing and advisory company based in Barcelona. The company supports performance-driven e-commerce brands across Europe and international markets, with a strong focus on paid media, funnels, and creative strategy.
This is a high-trust, high-ownership role, not a traditional back-office assistant position. You will act as the CEO's operational filter, structure provider, and right hand-ensuring information, communication, calendar, and daily logistics are organised, prioritised, and handled efficiently. This is an on-site role in Barcelona.
Your Duties:As a German Speaking Executive Assistant, you will be responsible for:
- Acting as the first point of contact for incoming communication (email, Slack, WhatsApp, internal and external requests).
- Filtering, structuring, and prioritising information before it reaches the CEO.
- Managing the CEO's inbox entirely and preparing concise summaries and daily briefings.
- Actively managing the calendar: scheduling, rescheduling, cancelling, and bundling meetings efficiently.
- Preparing information to enable fast and well-informed decision-making.
- Accompanying the CEO in daily business activities, including office work, meetings, and external appointments.
- Handling both business and personal organisational tasks, including:
- Travel planning and rebooking
- Coordination of private and business appointments
- Logistics (packages, pickups, deliveries)
- Day-to-day organisation in Barcelona (landlords, service providers, local arrangements)
- Preparing and organising travel (documents, packing, logistics)
- Proactively anticipating needs, taking ownership, and reducing operational noise around the CEO.
Requirements- Proven experience as an Executive Assistant, Personal Assistant, or in a close support role to founders or senior executives.
- Strong organisational skills with the ability to prioritise and structure large volumes of information.
- High level of discretion, reliability, and loyalty.
- Comfortable handling both business-related and personal responsibilities.
- Able to work closely with one individual and adapt flexibly to changing priorities.
- Willingness to be available outside standard working hours during intensive phases.
- English: professional working proficiency (mandatory).
- German: fluent, written and spoken (mandatory).
- Spanish: strong advantage.
- Based in Barcelona or willing to relocate (relocation support possible).
