THE TEAMThe Brussels office of Norton Rose Fulbright is located in the heart of the European District. Our team of fewer than 30 people works in a collaborative and friendly atmosphere, with a strong international dimension thanks to our global network of offices in over 50 cities. We work particularly closely with our colleagues in London.
In this role, you will support one to two Partners and a group of associates, providing comprehensive administrative and legal assistance for client onboarding, case management, and compliance. As part of a small secretarial team, you will also act as backup during absences (holidays or sick leave).
KEY RESPONSABILITIES- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Handle client onboarding and matter openings, including conflict checks, drafting engagement letters, and liaising with the Compliance team.
- Format documents, presentations, and spreadsheets using Microsoft Word, Excel, and PowerPoint, ensuring compliance with the firm's house style.
- Manage client billing processes, ensuring accurate time entries, timely invoicing, and clear communication with clients.
- Handle expense claims for the partners and associates assigned to you.
- Provide general administrative support, such as photocopying, scanning, and data entry.
- Organize meetings (in-person/hybrid), prepare rooms, and coordinate logistics such as couriers and catering.
- Assist with marketing materials, pitches, and occasional event preparation as needed.
EXPERIENCE AND SKILLS REQUIRED- Minimum 2 years' experience in an administrative or secretarial role (law firm experience is a plus).
- Language skills: Fluency in English and working proficiency in German are mandatory; proficiency in French is a strong plus.
- Strong organizational and time management skills; ability to prioritize and work independently under pressure.
- Excellent problem-solving and attention to detail.
- Outstanding written and verbal communication; professional interaction with attorneys, clients, and stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- High level of confidentiality and discretion.
