Role Description
• Responsible for providing administrative support to employees, managers and the people team, aligned to the Global People Shared Services processes which support the Employee Life Cycle.
• Works within multiple process areas of a dedicated region and provides strong support on both process/ regional requirements.
• Develop knowledge and understanding of the organization's and regional/country policies and procedures and of relevant regulatory codes and codes of conduct to ensure own work adheres to those standards. Obtain authorization from a supervisor or manager for any exceptions from mandatory procedure.
• Analyze requests and perform the necessary action by providing answers and/or initiating GPSS processes. Questions need to be answered in English or language of the supported country.
• Responsible for managing requests through People Assist (HR Case Management/ Service Request System), ensuring that progress is tracked within the Service Request in order to ensure seamless, well documented case management and ensuring appropriate resolutions are provided to the customer. Needs to be able to communicate in local language of the supported country.
• Responsible in meeting Service Request milestones/resolution deadlines in processing requests, monitors and prioritizes cases based on the milestones within People Assist.
• Resolve queries from internal or external customers or suppliers by providing information on complex processes and the related policies, referring issues to others where necessary for interpretation of policy. Support needs to be provided in English and/or language of the supported country.
• Maintain the highest standards of compliance, data privacy, and confidentiality, proactively identifying and mitigating risks to ensure strict adherence to all internal and external policies.
• Responsible for updating employee records in Oracle HCM in accordance with GPSS Knowledge Based Articles (KBA) and workflows in an accurate and timely manner.
• Carry out moderately complex HR data processing tasks; provides knowledge sharing to other team members when needed and use knowledge to help improve data collection tools and administration processes.
• Investigates historical data when required, can analyze processed data or transactions and come up with a solution to resolve if needed.
• Build effective working relationships within the internal client organization, delivering high-quality professional services with guidance from senior colleagues.
• Creates letters and notifications aligned to the process workflow where required in language of the supported country.
• Prepares moderately complex documents using a variety of applications for technology devices, such as standard office software.
• Collaborate with People Team, Colleagues from other departments and 3rd party requestors when necessary.
• Responsible for gathering and summarizing data for reports.
• Ensure that employee documents are filed correctly.
• Develop mastery and expertise of the processes to be able to suggest improvements which leads to higher efficiency.
• Administers HCM configuration changes.
• Participate in areas for improvements on ad-hoc projects alongside People Team with a particular focus on process improvement in the GPSS team
• Taking a supportive role in new system/ ways of working initiatives, including preparing for and implementing the changes.

Process Assignments / Service Area

New Hire Process

New Hire Process supports the acquisition of skilled and qualified workers to attain the company's broader business goals. GPSS will support these processes by administering the end-to-end Onboarding, Background Checks and Creation of Offer Letters and Employment Contracts.

Employee Data Changes

Employee information is constantly changing, and these changes surely impacts multiple HR processes. This process helps us to keep with our highly changing environment by making information updates available to you through ESS and MSS. Process controls are put in place by integrating the regions legal requirement in the process flow. GPSS supports with processing all relevant employee records and providing, if required, confirmation letters according to local specified templates and audits. The specialist is also able to provide customized letters in the language of the supported country or support exception procedures.

Leavers This process will provide support to employees and line managers by standardizing our procedure and administrative activities for both voluntary and involuntary exits. Involuntary exits will be closely coordinated with the business and in country People Services team.

Absence and Leave This process will help employees adjust their leave balance, aside from that it will support annual adjustments of leave balance per regions and will also be available for all employees who have leave accrual inquiries or entitlement submission.

Qualifications
• Graduate of any bachelor's degree.
• At least 3-4 years' experience in HR (preferably in HR Shared Services) or customer service experience is preferred.
• Language capability English and minimal 1 other European language at C1 or C2 level (German, Polish, Dutch, French, Spanish or Italian)
• Has a good understanding of the HR Shared Services concept and its key deliverables.
• Ability to prioritize and complete workload within a dynamic work environment. • Demonstrates success in establishing and maintaining professional networks.
• Able to communicate with employees and managers at all levels.
• Flexible and adaptable to change.
• Can handle multiple tasks in a fast-paced work environment.
• Advance knowledge in HRIS (preferably Oracle HCM). • Proficient with Microsoft Applications
• Ability to easily adapt to the organization's work rules and processes.
• Ability to work independently and manage basic tasks while meeting service quality and turnaround objectives.
• Above average verbal and written communication skills.
• Process oriented and keen attention to details.
