Role Accountabilities
• To lead and manage a GPSS team of 5-8 HR specialists in providing HR administrative support to the Business, HR Teams and employees in multiple countries in Europe.
• Monitor the team's effectivity and performance through HR Help Desk reports and metrics, this will include the following. o Efficient SR Triaging o Adherence to SLA o Reopened SR's
• Conducts audits to ensure that the team is following the Global and Local KBA's in processing requests and identify process improvement opportunities.
• Promote teamwork collaboration through regular catch ups and team meetings.
• Perform the Line Manager role for the performance management, professional growth and development of staff which includes feedback sessions, productivity tracking, coaching, one to one meetings and regular employee reviews, according to the GPS-cyclus of Arcadis.
• To take significant part on the onboarding of GPSS new joiners by conducting team induction, goal setting and integrating the team's norms and best practices. • Promote knowledge sharing within the team and drive a goal-oriented culture and a service level mindset.
• Maintain the highest standards of compliance, data privacy, and confidentiality, proactively identifying and mitigating risks to ensure strict adherence to all internal and external policies.
• Take the lead role in resolving escalated issues through Root Cause Analysis and provide corrective/preventive actions.
• Effectively delegate tasks to team members and implement an effective task monitoring process with regular review and reporting.
• Maintain a good working relationship with in-country People Services team leads, HR Business Partners, Centres of Excellence and other groups that may impact service delivery and operations.
• To participate in Management meetings to plan and co-ordinate operational priorities with Service Delivery Manager.
• Proactively recommend areas for improvements on ad-hoc projects alongside People Team with a particular focus on process improvement in the GPSS team
• Taking a leading role in new system/ ways of working initiatives, including preparing for and implementing the changes.
Process Assignments
New Hire Process
New Hire Process supports the acquisition of skilled and qualified workers to attain the company's broader business goals. GPSS will support these processes by administering the end-to-end Onboarding, Background Checks and Creation of Offer Letters and Employment Contracts.
Employee Data Changes
Employee information is constantly changing, and these changes surely impact multiple HR processes. This process helps us to keep with our highly changing environment by making information updates available to you through ESS and MSS. Process controls are put in place by integrating the regions legal requirement in the process flow.
Leavers
This process will provide support to employees and line managers by standardizing our procedure and administrative activities for both voluntary and involuntary exits. Involuntary exits will be closely coordinated with the business and Regions HR.
Absence and Leave
This process will help employees adjust their leave balance, aside from that it will support annual adjustments of leave balance per regions and will also be available for all employees who has leave accrual inquiries.
Qualifications & Experience
• Graduate of any degree
• At least 5 years of experience in Customer Centric work environment (HR-BPO would be an advantage)
• Experience in managing a team is preferred
• Knowledge in HR practices and HRIS is an advantage (preferably Oracle)
• Language skills English and at least 1 other European language at C1 level (German)
• Ability to easily adapt to the organization's work rules and processes
• Ability to prioritize and finish workload in a fast-paced work environment
• Confident in dealing and communication with employees at all job grades, from Entry level to Executives. Technical Skills:
• Proficient computer skills: Microsoft applications, HRIS, and Dashboards Soft Skills
• Strong Management skills and able to develop professional relationships with peers and direct reports.
• Willing to help and develop staff through guidance, coaching and effective feedback.
• Collaborative and ability to teach and empower others.
• Actively employ, share and contribute to the company's knowledge base
• Fluency speaking English and a minimum of 1 additional European language and demonstrates effective communication skills both verbally and written.
• Excellent analytical and problem-solving skills.
• Ability to make decisions on behalf of the team.
