Inviting Applications for the role of Payroll & HRSS- Assistant Manager -German - Hybrid Krakow
Responsibilities
1. Leadership & Team Management
• Lead a cross-functional delivery team of 5-10 staff, including Analyst, senior analysts, and SMEs
• Provide structured coaching, mentoring, and performance feedback through regular 1:1s, team huddles, and development plans.
• Manage staffing plans, shift rosters, and training courses to ensure full coverage across multiple time zones.
• Own the onboarding and integration of new team members, ensuring readiness to meet client-specific standards.
• Drive employee engagement by fostering a high-trust, inclusive, and performance-oriented work environment.
• Lead business continuity planning for seasonal volume spikes.
2. Workforce Data Operations:
• Ensure end-to-end accuracy in employee master data transactions (hires, exits, transfers, promotions, etc.) across global Human Resource Management System platforms (e.g., Workday, SAP SuccessFactors).
• Maintain documentation and quality controls to ensure data compliance, audit readiness, and operational efficiency.
• Manage ticket resolution via ServiceNow or similar tools; ensure SLAs and turnaround times are met.
• Drive consistency and compliance across all employee master data activities.
3. Strategic Oversight and Operations Management:
• Define and implement and Global Payroll strategies aligned with organizational goals.
• Drive initiatives to enhance Payroll process accuracy, compliance, and efficiency.
• Manage the Payroll function for a global workforce, ensuring timely and accurate processing.
• Oversee escalations and provide resolutions for complex process issues.
• Integrate employee data with HR analytics to inform strategic decisions on workforce planning
3. Stakeholder Engagement:
• Collaborate with HR, Finance, and external vendors to streamline service management operations.
• Engage with senior leadership to align employee data and payroll management strategies with business objectives.
• Conduct strategic review sessions, governance calls, and quarterly business reviews to drive alignment and performance.
• Partner with client-side process owners to co-create strategy for continuous process improvement and employee experience design.
• Compliances & Statuary to be audited to ensure vendor activities are completed.
4. Compliance and Innovation:
• Ensure compliance with global and local regulations.
• Drive adoption of new technologies and automation to enhance service management processes.
• Ensure delivery compliance with data privacy, EEO, diversity mandates, and geography related regulations.
• Lead periodic internal reviews, audits, and risk assessments for Payroll processes.
5. Reporting & Process Excellence
• Drive lean process design, automation, and digitization across payroll processes and workflows.
• Implement standard operating procedures (SOPs), quality assurance frameworks, and continuous improvement charters.
• Partner with tech teams and platform owners to streamline system usage, reduce manual tasks, and improve turnaround.
• Benchmark performance and process maturity with global best practices and identify innovation opportunities.
Qualifications we seek in you!
Minimum Qualifications
• Fluent German (C1) language level
• Excellent English language skills
• Bachelor's degree in HR, Management, Account or a related field (MBA good to have)
• Extensive prior payroll experience,
• Prior experience on a team leading role
• Expertise in global payroll management and compliance.
Preferred Qualifications/ Skills
• Proven track record in process automation and optimization.
• Certifications in payroll management or HR operations.
Key Skills and Attributes:
• Strategic thinking and problem-solving abilities.
• Strong leadership and interpersonal skills.
• Proficiency in payroll applications, Workday/UKG/SAP, ADP and ticketing (ServiceNow/Zendesk) systems.
• Effective communication and stakeholder engagement skills.
