Invoicing Team Leader to oversee our billing operations and lead a high-performing team. In this pivotal role, you'll ensure timely and accurate invoicing, drive process improvements, and collaborate across departments to resolve billing issues and support strategic initiatives.
Responsibilities Team Leadership & Performance
- Lead and mentor the invoicing team, fostering a collaborative and high-energy work culture
- Set clear goals, provide regular feedback, and conduct performance reviews
- Monitor KPIs and address performance gaps proactively
- Deliver training and support to enhance team capabilities
Invoicing Operations
- Manage daily invoicing activities, ensuring accuracy in pricing, taxes, and discounts
- Ensure timely processing and submission of invoices
- Handle escalations and approve complex or high-value invoices
- Implement best practices to streamline workflows and boost efficiency
✅ Compliance & Reporting
- Ensure adherence to company policies, industry regulations, and tax requirements
- Prepare and present invoicing metrics to senior leadership
- Support audits with accurate documentation and reporting
- Maintain organized records of invoices, payments, and billing correspondence
Cross-Functional Collaboration
- Partner with SPS, After Sales, Collection, Finance, and local teams to resolve disputes and ensure timely payments
- Work with IT and BPO/SME teams to enhance systems and processes
- Contribute to strategic projects and continuous improvement initiatives
Success Measures
- High invoice accuracy and low dispute rates
- Timely invoice delivery and fast resolution of billing issues
- Strong team morale and consistent performance against targets
- Audit-ready documentation and clear reporting
- Effective collaboration across departments and partners
- Ongoing process improvements that drive efficiency
QualificationsRequired Qualifications
- Bachelor's degree in Finance, Accounting, Business Administration, or related field
- 3+ years of experience in invoicing, billing, or accounts receivable
- Proven leadership experience in managing teams
- Strong understanding of billing processes and compliance standards
- Proficiency in Microsoft Excel and Office Suite
- Excellent communication, organizational, and interpersonal skills
- Fluency in German AND English (spoken and written)
Preferred Qualifications
- Experience with ERP systems (e.g., SAP, Oracle) and e-billing platforms
- Familiarity with VAT regulations and international billing standards
- Background in shared services or high-volume billing environments
- Ability to thrive in a fast-paced, dynamic setting
