About the RoleWe are seeking a highly organized and proactive
German-speaking Executive Assistant to provide comprehensive support to our leadership team. The ideal candidate will possess exceptional communication and time-management skills, along with experience working in a fast-paced environment. The Executive Assistant will be responsible for a wide range of administrative tasks, ensuring the smooth operation of daily business activities.
What you'll do- Business and personal support: Confidential and reliable assistance to management in all administrative and organizational matters, both of a business and private nature.
- Email management: First point of contact for all business and private emails; prioritization, filtering and processing of all emails before forwarding to management.
- Calendar management: Independent management of business and private calendars, including deadline monitoring and coordination.
- Travel management: Organization and support of even complex and short-term travel plans, including booking flights with miles.
- Stakeholder management: Interface function and coordination of management with all business areas, external partners, relevant institutions and other stakeholders.
- Administrative activities: data research, preparation of business documents, and minute-taking and documentation.
What You Bring- Experience: At least 5-8 years of experience as management assistant and/or completed commercial training
- Language Proficiency: Fluent in German at the native speaker level (B2-C1) and possessing strong English language skills to facilitate clear communication in a diverse work environment.
- Communication Skills: Exceptional written and verbal communication abilities, with a proven track record of effectively interacting with colleagues, clients, and stakeholders at all levels.
- Initiative and Adaptability: A high level of initiative and proactivity, with the ability to anticipate the needs of management and adapt to changing circumstances swiftly.
- Organizational Skills: Demonstrated proficiency in organizing tasks and managing multiple priorities effectively in a fast-paced environment, ensuring that deadlines are consistently met.
- Flexibility: Availability to work flexible hours, including mornings, afternoons, and evenings, as needed, to support management effectively.
- Technical Proficiency: Proficient in modern communication platforms (e.g., Gmail, Google Calendar, Calendly, Zoom) and advanced knowledge of MS Office Suite. Familiarity with project management tools is a plus.
- Customer Service Orientation: Strong interpersonal skills with a focus on delivering exceptional customer service, effectively managing client interactions, resolving issues, and fostering positive relationships.
- Legal and Ethical Awareness: A solid understanding of the legal and ethical standards relevant to office environments, particularly regarding confidentiality and data protection.
