- Monitor team performance and ensure timely delivery of HR services;
- Allocate tasks effectively and support team members in resolving complex issues;
- Oversee and ensure the accurate and timely processing of employee-related documents;
- Implement quality control measures for issued authorizations, certificates, letters, and confirmations;
- Supervise the preparation and distribution of employment contracts and related documents;
- Collaborate with local HR teams to address specific contract requirements;
- Ensure proper maintenance of personnel files, including digitization and clustering of documents;
- Monitor compliance with company policies and legal regulations related to document retention;
- Support onboarding and offboarding processes at a strategic level;
- Coordinate the provision of necessary documents and KPI data for HR audits;
- Ensure team compliance with proxy settings and access rights;
- Oversee the preparation and distribution of bonus and salary increase letters;
- Collaborate with payroll to ensure accurate processing of salary adjustments and bonuses;
- Maintain team accountability for compensation-related documentation.
Qualifications:- Bachelor's degree in Business Administration, Human Resources or related field;
- Minimum of 5 years in HR administration, with at least 2 years in a supervisory or team leader role, preferably in a shared services environment;
- Advanced proficiency in HRIS systems (preferably Workday; experience with SAP HR is advantageous);
- Expertise in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams);
- Proficient in Adobe Acrobat Sign for digital signature processes;
- Excellent English and German language skills, at least C1 level or higher;
- Proven ability to lead effectively in a multicultural environment, demonstrating sensitivity to cultural differences;
- Strong ability to inspire and guide a team towards achieving HR objectives;
- Exceptional accuracy in handling employee records and documentation;
- Superior ability to manage multiple priorities effectively;
- Advanced skills in maintaining and organizing digital and physical records;
- Proven track record of improving HR processes and procedures;
- Exceptional verbal and written communication skills, with the ability to engage with diverse stakeholders professionally;
- Collaborative and proactive mindset, fostering strong relationships with local HR teams and other departments;
- Exemplary discretion in handling sensitive information;
- Passion for delivering high-quality service to internal clients and stakeholders.
