Open Order Management responsible - German Speaker

Avantor is looking for a dedicated Order Management Responsible - German Speaker

This role will be a full-time position based out of our Bucharest, Timpuri Noi, office. You will have the opportunity to partner with stakeholders and customers located across different countries in the European region.

The team

Avantor's Order Management team is formed by 27 persons divided in 3 teams with 3 Team Leaders.

The Open Orders Management team is responsible for investigating and resolving issues that arise like: logistics problems, issues with our suppliers, and concerns related to available inventory.

The team involved in the middle of this end-to-end process: they serve as a link/connection between the customer, our sales and customer relations teams (front office), and the Procurement/Procurement, warehousing, etc.

Consequently, our activities are quite diverse and involve both front office activities and back office

What we're looking for:
  • Academic: Faculty
  • Qualification (Economics, business sciences, administrative) and 3+ years in a fast paced, customer focused environment or non-academic background with 2+ years working experience;
  • Biopharma/Lab environment knowledge (preferable);
  • Language skills: English B2/ German B2.


Skills and competences:
  • Experience in Order Management or/and Customer Service;
  • Experience in working in a multinational company environment;
  • Previous experience in SAP nice to have;
  • Good Excel skills;
  • Interested in data crunching;
  • Process focused;
  • Problem solving skills.

  • Highly focused on customer needs as well as proactive and team focused;
  • Outstanding interpersonal skills with the ability to comfortably interact with internal and external stakeholders and various client types (e.g. technical, end users and intermediate buyers);

How you will thrive and create an impact:

General responsibilities:
  • Order Entry (adding different products to the customers orders);
  • Handling customer inquiries (eg delivery date, documents, certificates, price confirmation etc);
  • Close collaboration with local Customer Service and Sales teams;
  • Checking reports that prevent us from delivering the goods (eg blocks, reservations etc);
  • Open Orders Management (proactively working on open sales so that we can ship goods and invoice the customers);
  • Make sure all customer orders are in a constant flow;
  • Identify the issue / root cause for the issue (in case we can not deliver the goods to our customers in time);
  • Check open sales orders on different criteria;
  • Make changes on orders in SAP (the enterprise resource planning tool we use for managing Sales and Deliveries);
  • Communicate with logistic and procurement departments to solve all open orders for which the OOM rep is accountable;
  • Communicate with local customer service offices in the countries for which we offer support;
  • Communicate with customers directly for alternatives if items are not available;
  • Enter information in SAP for various orders;
  • Review /Analysis of Open Order Reports (using applications such as Excel, Qlikview, Power BI);
  • Communication of relevant information to various teams;
  • Identification and solution of non-standard cases;
