Day-to-day responsibilities

• Being responsible to process the HR transactions in HR tools via ticketing systems.

• Being responsible to establish and maintain the communication with the local HR teams

• Being responsible for training and provide support to the team.

• Responsible for all pre-Onboarding activities: pre-employment; update of the HR management system, delivery of documents, etc)

• Personnel administration: updating and managing the employment contracts, personnel files; ensuring compliance of HR documents with local legislation; advising employees on queries related to personnel data.

• Collaborating with different stakeholders

• Responsible for probationary period process

• HR data: maintaining up to date the data in the HR systems

• Reporting: preparing of periodic external and internal reports, HR dashboard

• Support the implementation of various local and/or global HR and/or employee related initiatives.)

• Maintain the quality of service delivered across all countries within the scope.

• Support HR Admin activities for other countries and back up

• Actively support cross-functional projects (transitions, tool implementation, data quality, international mobility).

• Ensure compliance with internal policies, rules, and regulations within the team.

• Ensure that change management processes are followed for any project implementation.

• Coordinate the preparation for internal and external audits and respond to findings.

Who are we looking for

• Minimum 2 years of confirmed experience in HR administration, ideally in a Shared Services Center (SSC) environment.

• Fluency in English (oral and written) is mandatory.and German plus any other language

• Proficiency in another European language is a major asset.

• Initial experience in team coordination or project management is highly valued.

• Excellent command of HR Information Systems (HRIS) and ticketing tools.

• Skills in data analysis and reporting (dashboard creation).

• Knowledge of process mapping and improvement techniques.

• Experience in Change Management.

• Ability to recognize and manage one's own emotions and understand those of others.

• Ability to communicate clearly, concisely, and in a manner adapted to the audience.

• Ability to identify problems, analyze causes, and develop effective solutions.

• Flexibility to adjust to new situations and overcome challenges.

• to understand and share the team's emotions while maintaining a constructive attitude.

• Ability to build and maintain strong working relationships with internal and external collaborators.
