Training Administrator - German & English speaking

Job Description
Due to continued expansion and increasing demand from our global clients, GP Strategies is looking for bilingual Training Administrators (German & English) to join us on an initial 12-month contract - with a clear and genuine possibility to transition into a permanent role as our growth continues.
Starting in November, the roles can be undertaken on a fully remote basis, or hybrid if you're in close proximity to our office in Krakow.
As a Learning Administrator, you'll play a critical role in ensuring training programmes run seamlessly - whether delivered virtually or face-to-face. You'll be at the centre of operations, working with clients, trainers, and vendors to create outstanding learning experiences.

Your day-to-day will include:
- Coordinating and scheduling training sessions across multiple programmes
- Managing enrolments and issuing joining instructions
- Booking trainers, venues, accommodation, and logistics
- Liaising with vendors (hotels, catering, print suppliers, etc.)
- Handling participant and stakeholder queries via phone and email
- Ensuring sessions run smoothly and on schedule
- Maintaining accurate records across systems and reporting tools
- Identifying opportunities to improve processes and service delivery
What We're Looking For
Essential:
- Fluent German and English (both written and spoken) - this is critical for success in the role
- Experience in administration, operations, or customer service
- Strong organisational and multitasking skills
- Excellent communication skills and attention to detail
- Confidence working across international teams and time zones
- Ability to stay calm and deliver under pressure
Nice to Have:
- Experience within learning, training, or L&D environments
- Familiarity with Learning Management Systems (LMS)
- Advanced Microsoft Office skills

Responsibilities
- Book and coordinate instructors, guest speakers, and venues for training sessions.
- Manage all logistics, including printing materials, catering, and equipment.
- Maintain excellent client and stakeholder relationships, ensuring their needs are met.
- Contribute to and achieve internal KPI's and SLA's, focusing on customer satisfaction.
- Support both local and global clients, ensuring their training requirements are fulfilled.
- Collaborate with teams across different industries, such as financial services, insurance, and technology.
- Proactively communicate and coordinate with internal teams and clients to ensure a seamless training experience.
- Assist in maintaining and updating training records and databases.
- Provide administrative support to the learning and development team as required.
Qualifications
- Excellent organizational and time management skills, with the ability to prioritize tasks.
- Strong communication and interpersonal skills, with a client-centric approach.
- Attention to detail and a proactive problem-solving attitude.
- Proficiency in using MS Office and other relevant software.
- Experience in a similar administrative or support role is preferred.
- Ability to work independently and as part of a team, with a flexible approach.
- A positive and professional attitude, with a focus on delivering exceptional service.
- Willingness to learn and adapt to new technologies and processes.
- Excellent time management and the ability to meet tight deadlines.
