Currently, we are looking for:
Debt Vendor Specialist
What you would be doing:
- Initiate contact with vendors to collect outstanding debit balances promptly, following established collection procedures
- Investigate and identify the root causes of vendor debit balances, working closely with internal departments such as accounts payable, procurement, and finance
- Handle vendor inquiries and disputes regarding debit balances, providing clear and concise explanations and resolutions
- Collaborate with the accounts payable team to rectify vendor payment discrepancies and reconcile vendor accounts
- Monitor and analyze vendor aging reports to identify high-risk accounts or potential issues, taking proactive measures to minimize bad debts
- Develop and maintain strong relationships with vendors, fostering open communication and addressing any concerns promptly
- Negotiate payment plans or settlement agreements with vendors to effectively recover outstanding debts while maintaining positive vendor relationships
- Escalate complex or unresolved issues to management for further review and guidance
- Generate and distribute regular reports on vendor debit balances, collections activities, and financial performance indicators
- Ensure compliance with company policies, legal regulations, and debt collection best practices in all vendor interactions
- Collaborate with cross-functional teams to streamline processes, improve collection efficiency, and minimize the occurrence of debit balances
Requirements:
- Proficiency in German and English - both spoken and written
- Role-related experience: Proven experience in vendor debit balance collections or accounts receivable collections
- Experience in Finance related fields such as Accounts Receivable and Accounts Payable
- Knowledge of European legal regulations related to debt collections (especially for DE, UK and IT market)
- Strong understanding of accounting principles and practices related to debt collections
- Excellent negotiation, persuasion, and conflict resolution skills
- Excellent communication and interpersonal skills, with the ability to build and maintain positive vendor relationship
- Proficient in using accounting software and MS Office applications, particularly Excel
- Ability to understand and communicate complex information
- Ability to manage difficult conversations through remote communication tools
- Degree in Finance, Accounting, or a related field would be an asset
